Converting Old Organizer Data to the YO-270

This information also applies to the ZQ-270, YO-290, ZQ-290 and EL-6990 models.

If you have existing Telephone data saved for an older Sharp organizer like the YO-180) or a similar Casio model, you will encounter the
problem that the old organizer and the new one have different fields for the Telephone data type.
 
For example:

The YO-180 has Name, Telephone Number, Address, Email

The YO-270 Lastname, Firstname, Company, HomePhone, OfficePhone, Fax, Mobile, Street, City, State, Zip, Country, Email, Notes

If you keep the default 9-field Telephone compatibility mode settings for all models, then at least the basic fields Name, Telephone Number, and Address will always match between differeing models. However, you may prefer to switch to the YO-270 native mode with 15 Telephone fields.

The best way to do this is to first export your existing data to a YO-270 format, then modify the XLink/Win settings for the 15-field YO-270 native mode.

For example, to export YO-180 telephone data in the new format:
 
1) First make sure that YO-180 is selected as the current organizer model under Settings.
 
2) Open your YO-180 Tel file, and select File - Export - Text File (CSV) from the menu to display the Export dialog box.
 
3) Enter a new name like YO270.tel for the export file.
 
4) Select the fields to export from the left hand column (available fields), placing them in sequential order in the right-hand column (export fields). You probably want an order like this for the YO-270:
 
    -12 Last Name		(splits the Name field)
    -11 First Name
    null                        (no Company, YO-180 doesn't have it)
    2.Telno/URL   	        (assume Home Phone)
    null                        (no Office Phone)
    null                        (no Fax)
    null                        (no Mobile)
    3.Address/Remark   		(put entire address into Street)
    null                        (no City)
    null                        (no State) 
    null                        (no Zip) 
    null                        (no Country)
    4.Email
    5.Filename
    6.Notes

You can load a pre-defined copy of this specific export template from the file 180to270.wex by clicking the Recall button in the Export dialog box.

If you make changes, you can save a new export template file by clicking the Save button, in case you want to use it again or modify it in future.
 
5) Click Export when you're ready to create the export file.
 
Only you can decide if your single phone number field from the YO-180 records should go into the Home, Office, Fax, or Mbbile field of the YO-270. You have to make one decision for the whole file, although you could process your Business and Personal items differently as two separate Tel files. If you consistently entered your Address field on the YO-180 with components like Street, City, Zip, Country on separate lines, you could separate them here on export, but you probably didn't do that, so you'll probably have to put the entire address into the Street field on the YO-270.
 
6) Now you can switch to the YO-270 15-field native mode.

You can download 270opt.zip from the same web page that you downloaded XLink/Win from: http://www.imslsoft.com/hereis.htm. This file contains the 15-field telephone layout (one extra field in XLink/Win, since the program also records the original Telephone file name with the record).
Follow the instructions in the Readme.txt file in 270opt.zip to make the change.
 
7) Restart XLink/Win and open the YO270.tel file you exported earlier. The Tel fields should show up in the correct places.
 
You won't have this conversion problem with the other data types, although there may be a few limitations such as:
 
- The YO-270 doesn't support Anniversary 2, so any such items will converted to single Schedule items on transmit to the organizer.

- The YO-270 supports a maximum of 290 Telephone records, so you'll get a warning if you try to convert or transmit more than that.

- Memos are limited to a maximum of 96 characters on the YO-270, so any longer that that will be truncated on transmit to the organizer.
